Admin and Data Executive [Singapore]


 

Responsibilities:

Work closely with the Leads and Programme Executives to ensure the smooth and safe running of operations and assist in all administrative matters to enable the team to meet the programme’s targets, outcomes, and quality of work.


Administrative Duties

  • Support and assist the team in the daily administrative tasks of our programmes.
  • Assist the team in managing the child/family records. Manage filing and record keeping through proper maintenance of filing and archiving of documents in hardcopy and e-filing.
  • Attend to enquiries through calls/ walk-in and render assistance and support promptly. Channel enquiries to relevant personnel/departments where required.
  • Provide secretarial support (i.e. filing, drafting correspondences, minutes, memos, presentations).

Database Management

  • Database Design & Architecture: help build the structure and design of the database according to user, client, and organizational needs. This requires you to analyze the needs of user, client, and organization and applying their needs and specifications to data collection, data structure, data analysis, data compilation, dashboards, and reports.
  • Database Security: perform the necessary user administration, identify who should have access to what kind of data and perform the necessary data access management.
  • Database Testing & Debugging: to run performance testing procedures to ensure the proper operations of a database and to ensure that it’s error-free. You will need to test for bugs, report bugs, and ensure that they are followed-up appropriately by the vendor. You will support and coordinate the User Acceptance Tests (UATs) for different groups of users.
  • Data Migration: oversee the migration of data from legacy systems to new system.

Financial, Procurement and Asset Management

  • Assist the team with all matters related to procurement and logistics for all programmes.
  • Assist team with the purchase requisition process and management of purchase orders through timely submission of purchase requirements in procurement portal and assist Leads with monitoring budget through regular expense tracking.
  • Support billing management in the areas of claims, invoicing and verifying staff claims in line with programme budget to ensure proper accuracy and accounting.

Operations Management/ Logistics Coordination

  • Support team in conducting risk assessments and logistics planning for programmes/outings
  • Oversee programme operations i.e. activities/events for first-aid, safety and logistics/facilities management

Requirements:

  • Passionate about the cause of transforming kids’ families’ life outcomes through education, employment and housing
  • 1-2 years’ experience on events, programme and/or administrative support
  • Committed to working on 1-2 weekday evenings and/or Saturdays per week (with time off-in-lieu provided)
  • Independent, self-directed, and reflexive worker and learner who is passionate about poverty, inequality, and personal growth.
  • Good intrapersonal skills with the communication abilities and confidence to be able to empathetically engage with people from all walks of life, with different personalities, backgrounds, and histories.
  • A keen and/or fast learner adept at picking up new tools in the pursuit of operational efficiency
  • Competent with Microsoft Office
  • Bonus if equipped with design skills to create collaterals and marketing materials
